The Demo Cannot Show You Everything
A slick attendance software demo shows happy icons and neat reports. It does not show the night shift that breaks, the factory where the terminal loses the network, the 200-employee month-end that takes four hours, or the payroll format your accounts actually needs. Those are discovered later - unless you ask before signing.
This checklist is the questions we pose in every evaluation, regardless of industry. Use it with any vendor.
The 15-Question Checklist
### Devices & Capture 1. Which biometric and card devices does it support - face, fingerprint, RFID, Aadhaar, mobile GPS? 2. Can existing devices be connected, or does it lock you to one brand? 3. How does data reach the server - over the network, via USB, or on-premise+cloud hybrid?
### Shifts, Rules & Payroll 4. How are shift rosters defined - including rotating and night shifts? 5. Are late, early, overtime and weekly-off rules configurable per employee group? 6. What are the payroll export formats - Excel, CSV, Tally, or an API? 7. Can attendance flow into your existing HRMS or payroll without manual re-entry?
### Scale & Branches 8. Does one instance manage multiple branches and sites? 9. How does the system behave when a site loses connectivity - does it queue and sync later? 10. Can it handle your peak headcount and month-end processing speed?
### Employees & HR 11. Is there an employee self-service portal - and is it mobile? 12. Can employees see punches, apply for leave and check rosters?
### Data, Security & Ownership 13. Where is the data stored, and who owns it - can you export it all on demand? 14. Is there an audit trail of changes for compliance and dispute resolution?
### The Vendor 15. Does the vendor understand your industry - or are you the first factory/hospital/retailer they have seen?
What a Good Demo Looks Like
A confident vendor walks you through a real payroll export - from attendance to the report - rather than aesthetic screens. They answer point 4-7 with a live click-through, not a promise to "customise." They take your headcount and worst-case month-end seriously.
Red Flags
- Only one device brand supported, no mobile option
- Payroll export "by request" or via manual pulls
- No clear data-export / data-ownership answer
- No on-premise or offline story for poor-connectivity sites
- Pricing that excludes device integration or statutory reports
Bottom Line
Attendance software that survives month fifteen, not just the demo, is the goal. Run your checklist against every candidate, and test the payroll path above all else.
MegaMind Attendance is happy to be tested against this exact checklist - bring it to the demo.
Take this checklist into the demo for our attendance software and tick each line only after you have seen it work.
The Three Buying Traps
First is paying for capacity you will not use - a cloud enterprise suite for a 40-person office. The demo dazzles and the monthly fee quietly annoys. Match the product to the headcount, not to the salesperson's enthusiasm. Second is choosing on screenshots instead of your own data: no matter how pretty the dashboard is, your decision should rest on the export test and the late-punch scenario. Third is ignoring the backup routine until the month the data disappears. A machine is hardware; the discipline of pulling and backing up expected data is the real system.
The Demo You Should Demand
Vendors love to show you the happy path in a demo: perfect punches, neat reports, a flawless payroll export. Ask instead for the sad path, and watch which vendor brightens and which one flinches. The sad path is: an employee punches 18 minutes late, a fingerprint read fails twice, another employee's shift got changed mid-week, and one person swiped in twice at the gate. That single range of cases exposes the software's real behaviour - how it flags, how it defaults, how the HR person fixes it, and whether the audit trail survives the fixes.
A vendor who handles the sad path with a few clicks is showing you a system built for real workplaces. A vendor who keeps steering back to the happy screens is showing you a beautiful demo. You already know which one you want running your payroll.
