Most attendance machine purchases go wrong for the same reason: the buyer starts with the device instead of the requirement. A terminal that is perfect for a 40-person office fails badly at a factory gate where 600 workers must pass within twenty minutes, and a high-end face terminal is unnecessary spend in a clinic with 15 staff. The right starting point is headcount at peak, because that single number decides how many terminals you need and how fast they must read.
From there, four decisions follow in order. Authentication type — fingerprint where hands are clean and dry, face where they are not, card or RFID where speed matters more than identity, and a mix where different gates have different needs. Connectivity and location — whether each gate has network and power, or whether the terminal must work offline and sync later. Software — shift rules, overtime, leave, contract labour and payroll export are what turn punches into salary, so the software must fit your policy rather than forcing you to change it. And finally support — spares availability, AMC coverage and how quickly a broken terminal gets attention, because a dead reader at 9 am is a payroll problem by evening.
The practical checklist is short: count peak footfall per gate, list the polices your payroll must apply, note power and network at each location, decide who will administer the system day to day, and ask for a written quotation that names the model, the licence count, the installation scope and the AMC terms. If a vendor will not do a site visit and will not put the specification in writing, treat the price as a guess.
